Terms and Conditions
1. Introduction
Welcome to The Sapphic Compass (“we”, “us”, “our”). These Terms & Conditions apply to all applications, bookings and participation in our experiences (“Chapters”). By applying for, booking, or attending a Chapter, you agree to these Terms.
2. Our Experiences (“Chapters”)
Each experience offered by The Sapphic Compass is referred to as a Chapter.
Chapters are curated, small-group experiences for sapphic women, designed to prioritise safety, connection and intention.
Places are limited. Participation is by application only and subject to approval.
Some Chapters may require a minimum number of participants to proceed. If minimum numbers are not met, the Chapter may be cancelled and any payments made will be refunded in full. We are not responsible for any additional costs you may have incurred independently.
3. Application & Approval Process
Submitting an application does not guarantee a place.
Applications are reviewed to ensure alignment with the Chapter’s purpose, group dynamic and values.
If approved, you will receive an invitation to confirm your place and complete payment within the timeframe specified (usually 7 days). Failure to do so may result in your place being offered to someone else.
4. Booking & Payment
Payment is required only after approval.
Payment confirms your place and forms a binding agreement under these Terms.
All payments are processed securely via Stripe.
Prices are confirmed at the time of booking and will not change after payment.
5. Cancellations & Refunds
Due to the small, curated nature of our Chapters, cancellations may result in loss of payment.
Deposits are non-refundable, as they are used to secure accommodation, suppliers and planning costs.
If you cancel more than 6 weeks before the Chapter start date, any payments made above the deposit will be refunded.
If you cancel within 6 weeks of the Chapter start date, no refund will be available, regardless of whether the balance has been paid in full.
If a Chapter is cancelled by us (for example, due to minimum numbers not being met or circumstances beyond our control), any payments received will be refunded in full.
We strongly recommend that participants obtain appropriate travel insurance to cover cancellations, illness or unexpected changes.
6. Travel, Insurance & Personal Responsibility
Unless explicitly stated, travel (including flights, transport and visas) is the responsibility of the participant.
Participants are responsible for ensuring they have: - Valid passports and visas where required - Adequate travel and medical insurance - Fitness and readiness to participate in the Chapter
The Sapphic Compass is not responsible for delays, cancellations, or failures of third-party providers such as airlines, accommodation providers, or transport services.
7. Health, Wellbeing & Accessibility
Participants are responsible for their own physical and mental wellbeing during a Chapter.
Any relevant medical conditions, disabilities, or support needs must be disclosed in advance so we can assess suitability and, where possible, make reasonable adjustments.
While we aim to be inclusive and supportive, The Sapphic Compass staff are not medical or mental health professionals and cannot provide ongoing personal care or supervision.
8. Behaviour & Code of Conduct
All participants are expected to treat others with respect, kindness and consideration.
Discrimination, harassment, abusive behaviour or actions that compromise the safety or wellbeing of others will not be tolerated.
We reserve the right to refuse participation, remove a participant from a Chapter, or end their involvement without refund if behaviour is deemed unsafe, disruptive or contrary to our values.
9. Activities & Assumption of Risk
Some Chapters may include physical, cultural, or social activities that carry inherent risks.
By participating, you acknowledge and accept these risks and agree to take responsibility for your own safety.
The Sapphic Compass is not liable for injury, illness, loss, or damage arising from participation in activities unless required by law.
10. Liability Limitations
We aim to provide accurate and up-to-date information, but itineraries, locations, and activities may change.
We are not liable for: - Minor changes to schedules or activities - Actions or omissions of third-party suppliers - Circumstances beyond our reasonable control (including weather, illness, government restrictions, or emergencies)
Participation is at your own risk.
11. Privacy & Data Protection
We collect and process personal data in accordance with our Privacy Policy.
Your information is used only for application review, Chapter administration, and relevant communications.
We do not sell or share personal data for marketing purposes without consent.
12. Intellectual Property
All website content, branding, imagery, and materials are the intellectual property of The Sapphic Compass and may not be used without written permission.
13. Changes to These Terms
We may update these Terms from time to time. The most current version will always be available on our website. Continued use of our services constitutes acceptance of any updates.
